Position Summary:

Responsible for ensuring seamless order processing, inventory management, and distribution operations while fostering a culture of teamwork and continuous improvement. Associate Manager, Operations will drive operational efficiency in safety, service, quality, and cost while leading and developing a high-performing team.

Essential Functions:

Customer Service & Order Management

  • Ensure the Customer Service team processes orders efficiently, coordinating with customers, hospitals, and sales representatives to ensure timely deliveries.

  • Support the sales team in obtaining purchase orders from hospitals and collaborate with Finance to track outstanding sales and revenue.

  • Ensure accurate invoicing and manage inventory receipts, sales calendars, and invoicing workflows.

Logistics & Distribution Operations

  • Supervise daily distribution operations, including receiving, inventory re-stocking, packing, and shipping.

  • Plan and schedule loan set movements, consignments, and stock orders in line with procedures and customer needs.

  • Ensure set audits, quality checks, and cleaning of loan sets as per established processes.

  • Monitor and maintain the accuracy of inventory levels, ensuring SAP and other systems accurately reflect real-time stock status.

  • Proactively interfaces Supply Chain to facilitate efficient inventory management.

  • Implement and refine standard operating procedures (SOPs) to improve efficiency and ensure consistent results.

Leadership & Performance Management

  • Lead and coach the Customer Service and Distribution teams to achieve operational excellence.

  • Develop and implement KPIs to measure and enhance team performance.

  • Identify opportunities for process improvement, determine root causes, and implement solutions.

  • Provide regular feedback, performance evaluations, and career development opportunities for team members.

  • Act as the primary communication link between the team and upper management.

  • Ensure compliance with safety regulations, company policies, and legal provisions related to work conditions and time management.

  • Participate in hiring decisions, salary reviews, career planning, and resource management.

Qualifications:

  • Proven leadership experience with the ability to drive change and build high-performing teams.

  • Strong customer service and logistics expertise, with a focus on process optimization.

  • Ability to effectively communicate and collaborate across multiple teams and levels.

  • Experience with Lean Principles, Six Sigma, or 5S methodologies is a plus.

  • Strong problem-solving and organizational skills with a detail-oriented mindset.

  • Hands-on mentality with the ability to work in a fast-paced environment.

  • Bachelor’s degree in Logistics, Business Administration, or equivalent experience.

  • 5+ years of experience in Logistics, Distribution, or Operations leadership.

  • Fluent in Spanish and English (written and spoken). Additional languages are a plus.

  • Experience in medical device manufacturing/warehouse operations is highly preferred.

  • Familiarity with SAP or similar ERP systems.
