The Associate Event Manager will report to the Global Director, Professional Relations and will be responsible for collaborating with the marketing, product management and sales teams in the Northern Europe and UKI regions to define the commercial strategy and vision for events. Coordinates budget, stand design, event activities, cost estimates, and execution of events. This role does not have direct reports but requires interaction with various levels of management in marketing, product development, sales and Key Opinion Leaders (KOLs) in the industry. Positive attitude, strong attention to detail, and exceptional organizational skills are a must. This team member will contribute to the overall team's success by identifying problems and proactively seeking improvement and creative solutions. This position requires on-site supervision of activities, so travel flexibility is required.
Job Responsibilities
Collaborate and align with commercial leadership and Marketing to determine event strategy that supports the regional business. Execute show themes, product focus, and secure technology, services, and collateral that meet requirements.
Research and identify potential exhibition opportunities; maintain calendar of current events, updating web page accordingly
Work with management and event vendors to ensure implementation is within budget and on time
Develop and present pre- and post-show reports to management
Communicate event information with all internal stakeholders
Collaborate with the Creative and Marketing team to build marketing materials and communications, inclusive of social media and email marketing campaigns for events
Coordinate staff and surgeon KOL’s attendance, flight, hotel, transportation etc.
Manage on-site activities including booth set-up, dismantling, receptions, workshops, dinners, hands-on labs and other promotional activities
Collaborate with Marketing and logistics to secure product and equipment for demonstration purposes and ensure the timely arrival of materials at events
Collaborate with Marketing and Surgeon KOLs to ensure the content of workshops is effective and within regulatory and compliance guidelines
Re-stock and maintain event inventory
Maintain all Event trackers, reports, and calendars
Maintains accurate documentation of all event processes and provides cross-training to other team members as needed
Adhere to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies. Ensure Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role.
Qualifications
Must have
Bachelor's Degree
3 years of current, relevant meeting and event management experience
Fluent in English
Proficient in the use of Microsoft Office suite
Excellent organizational skills and attention to detail
Ability to manage stress and conflicting priorities within demanding deadlines
Self-motivated with the ability to efficiently complete tasks with minimal supervision.
Proactive with the ability to “think on your feet” to find the best solutions
Ability to travel 30% including weekends. Time will be compensated.
Must be able to lift 25 lbs
Strongly Preferred
Tradeshow experience
Ability to speak Italian or German
International event and meeting planning experience
Experience managing events for medical device or pharmaceutical industries
Tech savvy, with the ability to quickly learn new technologies, build standard templates, processes, and deliverables
Ability to quickly learn scientific and technical information
Creative thinker
