Position Summary:

The Donor Services Team Lead manages, monitors, reviews, and audits all areas related to unprocessed tissue from procurement through release for processing or final disposition. The Team Lead facilitates and evaluates incoming donor records for accuracy and completeness, reporting outcomes with recommendations to the Donor Services Manager and/or Medical Director regarding the disposition of each case.

The Team Lead supports the planning and oversight of Donor Screening and Medical Records functions, ensuring timely and accurate performance, including the release of tissue, in accordance with all standards and procedures. The role assists in developing, implementing, and managing relevant Standard Operating Procedures (SOPs) and other procedures to ensure the consistency and quality of operations while adhering to current Good Tissue Practices (cGTPs) and regulatory/accreditation requirements. The Team Lead helps oversee change control, validations, and process developments, ensuring adherence to established timelines. The role works effectively to maintain cooperation and respect between departments and Contract Recovery Agencies (CRAs).

Essential Functions:

  • Assists in the selection, training, orientation, supervision, evaluation, and counseling of department employees as needed

  • Helps manage the flow of incoming donor tissue and specimens, including organizing cold storage and ensuring proper temporary storage temperature control

  • Assists with creating, maintaining, and filing Donor Records, ensuring accuracy and proper organization of the Record Room with controlled access

  • Ensures all aspects of donor records are entered into the database accurately

  • Supports Quality Assurance reviews of donor records for compliance with BBA Standards, forwarding recommendations to the DS Manager and/or Medical Director

  • Assists with shipping donor tissue to processors or offsite storage as needed, and helps reconcile invoices for donor reimbursements, consultants, service vendors, and supply functions

  • Orders supplies for CRAs as necessary, and helps create tracking and trending reports

  • Monitors and audits logs for Donor Receiving, Culture/Serology samples, Discard, Autograft Storage, and Offsite Storage

  • Ensures departmental SOPs and associated documents are current and accurate, and supports reporting of monthly raw inventory of unprocessed tissue in tandem with the DS Manager

  • Assists with managing the on-call personnel schedule, and provides support for the development and review of policies, procedures, guidelines, standards, and protocols

  • Assists with the implementation of Corrective and Preventative Actions (CARs) for deviations from SOP

  • Serves on-call for donor screening and receiving tissue/specimens after hours, on holidays, and weekends as needed

  • Supports budget development and monitors expenses as required

  • Reviews and maintains the discard log as required

  • Assists with verifying daily temperature logs, weekly temperature graph wheel changes, and monthly alarm test checks for all inventory freezers in the absence of assigned personnel

  • Helps maintain consultant training files and participates in AATB committees and task forces as needed

  • Represents BBA at AATB and other professional meetings as required, and participates in agency audits and inspections as necessary

  • Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies

  • Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role

  • Represents the company in a professional manner and upholds the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties

Qualifications:

  • High school diploma or equivalent required.

  • Associate’s degree in a medical discipline or its equivalent, with 3+ years of experience in the medical field or a related area. EMS, LPN, LVN, or medical unit clerk preferred.

  • Minimum of 3 years of prior tissue bank experience in donor screening and recovery preferred.

  • CTBS Certification required within one year of hire and must be maintained

  • Extensive knowledge of medical terminology, guidelines, and regulations; ability to read and understand medical records and the significance of disease processes and patient physiology required.

  • Ability to identify areas of documentation needing further clarification, improve process flow, and document trends by recovery agency preferred.

  • Basic computer knowledge and proficiency with Microsoft Office Word and Excel required.

  • Ability to function well in a team-oriented environment and thrive in a challenging, fast-paced setting required.

  • Valid drivers’ license and/or dependable transportation required.

The employee is occasionally required to sit; climb or balance; stoop and kneel. The employee must frequently lift and/or move up to 60 pounds and occasionally lift and/or move up to 70 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
