We are looking for an experienced Recruiting & People Operations Specialist who is excited to build and scale our Toronto office. In this full-time, in-office role, you’ll own end-to-end recruiting for our 16-person (and growing!) Toronto team while also serving as the first point of contact for basic HR questions and light office coordination.
Approximately 80% of your time will be dedicated to recruiting for our Toronto office, and the remaining 20% will focus on people operations and office management tasks. For example, receiving packages and being a friendly, organized presence in the office.
You’ll play a key role in creating a positive, high-touch experience for candidates and employees alike, and you’ll partner closely with the U.S.-based recruiting and HR teams as we continue to grow.
Key Responsibilities
Recruiting (80%)
- Own full-cycle recruiting for roles based in our Toronto office (technical and/or non-technical), from intake with hiring managers through offer and close.
- Build strong, diverse pipelines through sourcing, networking, and creative outreach strategies.
- Attend career fairs at local universities and establish ongoing relationships with staff.
- Screen candidates for skills, experience, and values alignment; coordinate interviews and ensure a smooth process from first touch to offer.
- Advise hiring managers on market trends.
- Provide a high-quality candidate experience with clear, timely communication and thoughtful follow-through.
- Maintain accurate data in our ATS (Greenhouse) and leverage metrics (time-to-fill, pipeline conversion, etc.) to inform recommendations and continuous improvement.
- Partner with the VP of Talent and broader Talent team to refine our employer brand in the Toronto market.
People Operations & HR Support (15%)
- Serve as a first-line resource for basic HR questions from Toronto employees (e.g., policies, processes, benefits logistics, holidays, etc.), escalating more complex matters to the VP of Talent and/or HR leadership.
- Support onboarding for new hires in Toronto, including first-day logistics, paperwork coordination, and helping them feel welcomed and set up for success.
- In coordination with our U.S.-based team, help implement and communicate people programs and processes locally (e.g., performance cycles, engagement initiatives, policy rollouts).
- Ensure local HR practices align with Canadian and Ontario employment standards, partnering with HR leadership and external advisors as needed.
Office Management & Culture Support (5%)
- Be an in-office point person for day-to-day needs: greeting visitors, receiving packages, overseeing shared office supplies, and helping coordinate small events or team gatherings.
- Partner with internal stakeholders (Talent, Operations, Finance) to keep the Toronto office running smoothly and efficiently.
- Identify opportunities to improve the in-office employee experience and help foster a collaborative, inclusive culture.
Qualifications
- 3-5+ years of full-cycle recruiting experience, ideally in a fast-growing tech or startup environment.
- Experience hiring in Canada; familiarity with Ontario employment standards and Canadian HR practices is strongly preferred.
- Demonstrated success partnering with hiring managers and leaders to fill a variety of roles.
- Comfortable handling basic HR questions and processes; experience in a blended recruiting/HR or recruiting/people ops role is a plus.
- Highly organized with strong attention to detail; able to manage multiple requisitions and priorities with a sense of urgency.
- Excellent communication and interpersonal skills—able to build trust with candidates, employees, and leaders.
- Proficiency with applicant tracking systems (ideally Greenhouse) and HR information systems; strong tech-savviness.
- Ability and desire to work in-office full-time in Toronto (this is not a remote or hybrid role).
